Adding a Web Connector File for QuickBooks Desktop Users

Before You Begin

To set up the QuickBooks Web Connector with Hour Timesheet, you’ll need a .qwc file provided by Hour Timesheet Support. This file contains your credentials and is required for integration.

If you haven’t received it yet, email support@hourtimesheet.com with:

  • Your Hour Timesheet account URL
  • The email address of the person who will run the Web Connector (must already be a user in your Hour Timesheet account)

Important:

  • Log in to your QuickBooks company file as the Admin user.
  • Switch QuickBooks to Single User Mode before setup.
  • Right Networks users should follow these instructions.

Step-by-Step Instructions

  1. Save the File – Download the .qwc file from your Hour Timesheet support email and save it somewhere easy to find (Desktop or Downloads).
  2. Open QuickBooks – Launch your QuickBooks company file and log in as the Admin user.
  3. Access Web Services – In QuickBooks, go to: File > Update Web Services.
  4. Add the Application – Click Add an Application, browse to the saved .qwc file, select it, and click OK.
  5. Authorize Access – On the “Authorize New Web Service” screen, click OK to grant Hour Timesheet access.
  6. Approve Certificate Access – If prompted, select Yes, always allow access even if QuickBooks is not running.
  7. Confirm Admin Access – From the dropdown, select the Admin user, then click Continue. You should now see Hour Timesheet listed in the Web Connector.
  8. Enter Your Hour Timesheet Password – In the Web Connector window, enter the password you use to log in to Hour Timesheet.
  9. Run the Sync – Check the box next to Hour Timesheet, then click Update Selected to complete the sync.

The Web Connector automates data flow between QuickBooks Desktop and Hour Timesheet:

  • Auto-sync QuickBooks data into Hour Timesheet
    • Customer/Job list
    • Payroll Items
    • Service Items
    • Classes
    • Employees
    • 1099s
  • Auto-populate employee timecard data in QuickBooks
    • Employee time by job code and day
    • Comments entered in Hour Timesheet
    • Leave (PTO, Sick, Holiday, etc.)

Note: The Web Connector can only access one company file per Windows desktop. If you manage multiple QuickBooks companies or Hour Timesheet accounts, you’ll need a separate .qwc file for each.
